Change Management
The initial requirement was for the Matrixx Solutions consultant to be a Project Manager for the company’s Return to Office project, following the enforced period of home working due to COVID-19 restrictions. However, the company decided to extend the scope and introduce a hybrid working model, supporting work from home and the office.
The Matrixx Solutions consultant collaborated with the Project Sponsor to define the project vision and roadmap, then used agile and collaborative practices to engage the project team and manage the overall programme of work.
The project team included managers from Facilities, HR, Technology, Communications and Change Management. Our consultant fostered cross-functional collaboration among diverse departments, resulting in strong organizational integration that addressed the logistical and cultural needs of a hybrid work approach.
Used agile practices, including daily stand-ups, sprint reviews, and retrospectives, to enable rapid iteration and feedback. Integrated, online tools were used to bring visibility to progress, and enable real-time collaboration and task tracking.
Coordinated the launch of the new "Comfy" app, a cloud based seating reservation app, for seamless seat and room bookings, supporting hot-desking and hybrid team arrangements.
Following the company’s decision to close down part of their office floorspace and introduce Neighbourhoods (areas where people would sit within co-located teams), our consultant worked with HR to establish "Working Agreements" for hybrid teams, promoting a collaborative approach to in-office and remote work arrangements. To engage the organisation the Matrixx Solutions consultant led a coordinated programme of multi-channel activities and facilitated Engagement forums.
Collaborated with the Project Sponsor and cross-functional project team to ensure that new office layouts supported compliance with the Scottish Government’s COVID-19 guidelines. Coordinated the Change Readiness Assessment, ensuring that extra focus was placed on it, due to the disruption caused by COVID-19.
As hybrid work becomes a permanent fixture in the post-pandemic workplace, tools that facilitate flexibility and collaboration are crucial for maintaining productivity and engagement. The "Comfy" app, a seating and meeting room booking system, not only ensures that resources are optimally used, but also empowers employees to take ownership of their workspaces, fostering a sense of autonomy and flexibility. This tool, along with other workplace adjustments, allows companies to maximize the benefits of a hybrid environment - flexibility, work-life balance, and enhanced productivity—while maintaining strong ties to the office culture.
Transitioning to a hybrid model isn’t just about technology and processes—it’s also about cultivating a cultural shift within the organization. Matrixx Solutions worked closely with HR and leadership teams to foster a culture that embraces flexible work arrangements while ensuring that team collaboration and productivity remain strong. The development of “Working Agreements” and the introduction of Engagement forums allowed employees to voice their concerns and adapt more easily to the changing work environment. By addressing these cultural aspects early on, Matrixx Solutions helped the company build a more resilient and sustainable hybrid work model.

Our Consultant’s continuous engagement with the Project Sponsor and senior leaders enabled them to respond to the Scottish Government’s COVID-19 policies and guidelines, allowing them to maintain a safe workplace, and fostering trust and transparency in the hybrid model.
